EAGLE MANAGEMENT – TERMS AND CONDITONS
Bookings

An initial reservation may be made by telephone, post, online booking form, or e-mail and will be held 24 Hours pending the return of the completed booking form and initial deposit in the amount of $250.00. If the travel dates are within 6 weeks full payment will be required. The submission or signing of the Booking Form and payment of the deposit by the party leader, confirms acceptance of the terms and conditions set out below and shall be binding on the person(s) booking and intending to occupy the premises.

Occupancy
 

No pets accepted in most homes. If the home reserved is pet friendly and you are travelling with a pet you will need to pay an additional and non-refundable Pet Fee in the amount of $150.00 (per pet) You will be charged a penalty of $250.00 if there have been found pets in the property in a NON Pet-friendly property.

For the comfort of guests, the villa is a non-smoking home; however smoking is permitted on the patio/lanai area. Please use the ashtrays provided. If guests smoke in our home the cost of fumigation will be deducted from your credit card on file.
 


Rental Period

Any stays of 4 nights or less will incur a cleaning fee of $85/$90/$95/$105 or $140 depending on the size of the home occupied. Check-in time is 4:00 PM on the day of arrival and home must be vacated by 10:00 AM on the day of departure. A later departure may be possible but may incur an additional charge and must be agreed, in writing, prior to commencement of the holiday.

Payment

A deposit of $250.00 is due at the time of confirmation of your initial reservation, to be sent with your completed Rental Agreement. Payment can be made with Visa, MasterCard, Discover Credit cards as well as money order or cashiers check.

Payment of the balance is due 6 weeks prior to your departure. On receipt, banking and clearance of your party’s final payment, we will send out your final instructions and information. If pool heat is required this should be requested at the time of booking. This will incur an additional management charge of $25 per day for electric heating and $35 per day for gas heating plus 12% resort tax. (this depends on the home chosen)
Pool Heating Facility
The pool can be heated at $25.00/day for electric, $35.00/day for gas plus 12% tax (minimum 5 days). It will take between 24 and 48 hours (depending on the outdoor temperature) for the pool to warm up. Please be aware that the temperature will not be as a bath’s temperature. It is just enough to reduce the chillness of the water. The pool heater runs off the pool pump. This pump is on between 8 to 10 hours/day and will shut off automatically.
IF THE OUTDOOR TEMPERATURE DROPS BELOW 55º, THE POOL HEATER WILL SHUT OFF and will not come on again until temperature rises. This is a safety feature and cannot be overridden.
If the house has a pool blanket (blue plastic cover), place this over the pool at night to retain most of the heat. In the morning, remove the blanket and place it neatly in the corner inside the pool screen. Please do not leave the cover outside the screen enclosure or in jacuzzi/spa. PLEASE NOTE: Not all homes have pool blankets. These blankets are purchased by the owners. Eagle Management does not rent or carry extra blankets.

ATTENTION: Please do not adjust the pool pump, timer, heater, turn levers or push buttons on any pool equipment. You will be solely responsible for any damages and faults.
If you have a problem with the pool heater, please contact our office immediately to report the problem. Reports/complaints received AFTER your occupancy/stay will not be entertained



Property Protection FEE

A $45.00 Property Protection Fee will be payable locally to Eagle Management and it is Non-Refundable. This must be paid prior to arrival by calling our office. This will cover for any accidental damage or breakages that may be caused to the property or its contents. If there are missing items or intentional damages the client will still be responsible for these and the guest credit card will be charged to cover these expenses. Any breakages or damage must be reported to the Management Company as soon as possible and before you vacate the property. At no time should any of the inventory items be removed from the villa.

We check inventory prior to your arrival and after your departure and will advise you of any faults. These may include additional cleaning costs for spills, stains etc.

We reserve the right to charge the guest credit card to cover vandalism, intentional damage or missing items. Any fines incurred as a result of the dustbin being left outside will also be deducted from your security deposit.

We reserve the right to pursue a quest for recompense for any and all damages caused (not accidental), within 14 days of being served notice of same.
 

Florida has a sub-tropical climate and care must be taken with food that is left uncovered. Apart from spoiling and contaminating areas, it can attract insects very quickly. Any costs incurred for additional pest control and/or cleaning may be passed on to you.
This is to indemnify us against additional charges in connection with your stay in one of our properties. These vacation rentals are privately and proudly owned and it is our responsibility to ensure the good condition and maintenance of each vacation rental. Should there be any extra housekeeping required such as extraordinary excess garbage and the cleaning of carpets, missing items or damages and other charges related to the property, then your credit card will be debited to cover the amount to have the home back to rental condition. A representative of Eagle Management/ Rent A Villa will inspect the vacation rental before and after each rental term and maintains on file each vacation rental and it’s contents. The vacation rental should be left in good condition. An information booklet with helpful details will be located in each vacation rental for your reference. Should you encounter any problems please let us know in order to correct them. Vacation rentals are Non-smoking and the cost to fumigate/purify the vacation rental will be deducted from the credit card on file.
We appreciate that accidents/inconveniences do occasionally happen and it would be best for all concerned if the incidents can be sorted our during your stay. Complaints received after occupation of the vacation rental will not be entertained.
Please keep the patio doors closed at all times. It is a federal offense to tamper with the alarm to the patio door (if any) and smoke detectors. It carries a penalty of $5,000.00 or 5 years imprisonment. If any alarm is not working or ceases to work then it is your responsibility to inform the office immediately. Please do not disconnect the alarms. Always keep the child safety netting in pool area erect (if any).

Insurance
We strongly recommend that you ensure you have adequate Travel and Health Insurance for the duration of your stay, to cover eventualities such as cancellation, accident, sickness and damage. We will not be held responsible for clients who do not purchase adequate travel insurance to cover unforeseen circumstances which may necessitate cancellation of your holiday, or cause additional expense to be incurred by you or members of your party.

Passports and Visas
It is the responsibility of guests to ensure that all those traveling in the party have complied fully with all passport and visa requirements in place at the time of travel. Any failure in this respect may result in your travel arrangements being amended/curtailed with consequential losses in respect of your villa booking. In such circumstances no liability attaches itself to the villa owner.

Liability
The owners and their agents do not accept liability whatsoever for death, personal injury, accidents, loss or damage to persons or personal effects however caused as a result of the use of the pool, and villa. It is the responsibility of the adult members of the party to ensure that children are always properly supervised when in the pool, and deck area.

Force Majeure
The owners or their agents cannot accept responsibility, be responsible or be liable in respect of damage or changes caused by Force Majeure e.g. strikes, floods, closure of airports, weather conditions or other events beyond our control.

Complaints or Dissatisfaction
In the unlikely event of a complaint during your stay please contact the Management Company immediately. If the matter cannot be resolved you should contact the Customer Service Dept, in writing, within 14 days of the end of the rental period. If the problem has not been reported, as requested, to the Management Company the owner cannot accept any responsibility. No refunds are granted for malfunctioning mechanical or electrical equipment including (but not limited to): inoperable appliances, air-conditioning units, Pools and/or spas. No refunds will be given for unfavorable weather, early departure, utility service interruption, construction, or maintenance issues.

An information booklet with full details of the property is available in each vacation rental. Should you encounter any problems, please let us know in order to correct it, we will attend to any maintenance or guest issues within 24 hours. Vacation rentals are NON-SMOKING and the cost to fumigate/purify the home will be deducted from your credit card on file.

If there is a claim for damages, missing items or other charges, you will be notified within 30 days of your departure and issued a receipt so that you may make a claim on your holiday insurance. It is important that you notify any damages to the EAGLE OFFICE within 24 hours of your arrival in the villa to prevent charges being incurred on your credit card after you vacate. For loss of villa key(s), there will be a minimum charge of $75.00. Kindly be advised that any after hours call-outs if no issue is found or the guest has caused the problem will incur an additional $35.00 administration fee.
